A Centralized System for Broadcast Message Trafficking

Case Study · Marketing Operations

One system for broadcast message trafficking.

A national cable and telecom provider ran broadcast planning and trafficking across Excel, dozens of files, and 15 agencies. TKI replaced that manual process with MTS, a centralized system that plans, traffics, and proofs every message in one place.

The challenge

Broadcast media, managed by hand.

The client's media management ran on manual workflows, legacy systems, and no integration. Broadcast planning and trafficking were spread across multiple agency and third-party tools, with data scattered over 20 files and 75 documents and coordination stretched across 15 agencies. The process was slow, error-prone, and impossible to see end to end.

The solution

One centralized, digitized platform.

TKI built MTS, the Message Trafficking System: a cloud-based, scalable platform with real-time API integration, centralized dashboards, and automated workflows for media plans and messaging. It replaced the Excel-and-email process with a single system for planning, trafficking, and proofing broadcast messages.

The approach

We documented the workflow before we digitized it.

Before building, TKI mapped how messages were actually planned, trafficked, and proofed, then designed one system around the real workflow.

Collaborative workshops

We worked with stakeholders to understand their needs, their constraints, and how the process really ran.

Workflow definition

We documented the existing workflow behind message and traffic spot creation, planning, and distribution.

Data analysis

We documented and analyzed over 500 data points spread across 20 files and 75 documents to ensure consistency and accuracy.

Solution delivery

We built a cloud-based, scalable platform to centralize planning, trafficking, and real-time proofing in one place.

The technology

Cloud-built, integrated, and scalable.

Engineered on a modern cloud stack, with real-time integration to the partners that receive and deliver traffic instructions.

Cloud-based and scalable

A bespoke platform built to grow with the operation and handle a national office network.

Real-time integration

API integration so traffic instructions flow directly to ad-delivery partners with no manual handoff.

DevOps delivery

A DevOps methodology for continuous, low-risk deployment and testing as the platform evolved.

Inside the work

From Excel and email to one workflow.

The Message Trafficking System, MTS, transformed how the client managed broadcast media: optimizing workflows, improving visibility, and lifting operational efficiency across the board. It gave the operation a single, centralized view of messaging plans in place of a patchwork of agency and third-party tools.

MTS standardized digital processes across more than 500 data fields, 75 document types, and a national office network. A planning-centric calendar kept data current in real time, and integration with ad-delivery partners meant traffic instructions moved straight to distribution rather than being re-keyed by hand.

Most of all, MTS removed the need for Excel-based workflows, centralizing data entry for broadcasters, media planners, and traffickers from 15 agencies into one intuitive web interface.

The results

A fragmented process, run as one operation.

By centralizing planning, trafficking, and proofing into one system, the client replaced its Excel-based process with a coordinated, transparent broadcast operation running at national scale.

15,000+

Broadcast flights trafficked in a single year, across more than 3,000 buys, all created and managed through one platform.

3,000+

total buys processed through MTS in a single year

15

agencies unified into one system for planners, traffickers, and broadcasters

500+

data fields standardized across 75 document types and a national office network

75+

documents eliminated, more than half of weekly traffic and media management paperwork

Excel-free

data entry moved off spreadsheets into one intuitive web interface

Real-time

proofing and a planning-centric calendar that kept every plan current

Broken, multi-system processes are what we replace.

TKI learns how your operation truly works, then centralizes and automates it into one system that scales. If that sounds like your challenge, let's talk.
